About Position

1. Purpose of the Job:

To enhance the executive office’s effectiveness by providing effective and efficient logistical and administrative support

Main Duties and Responsibilities: 

The jobholder’s roles and responsibilities are outlined as follows:

I. Operational Roles and Responsibilities
  1. Provide high-level administrative support to the Company executives by handling confidential information, compiling reports, handling requests and performing administrative functions;
  2. Act as the point of contact between the Managing Director and internal/external clients;
  3. Welcome guests and customers, make enquiries on behalf of the Managing Director and answering or directing inquiries;
  4. Maintain office supplies inventory in the Managing Director’s office by checking stock to determine inventory level; anticipating needed supplies; placing and expediting orders for supplies; verifying receipt of supplies;
  5. Ensure operation of equipment in the Managing Director’s office by keeping track of preventive maintenance requirements, calling for repairs and maintaining equipment inventories;
  6. Undertake the tasks of receiving calls, take messages and routing correspondence;
  7. Maintain diary, arrange meetings and appointments and provide reminders;
  8. Read and analyze incoming memos, submissions and reports to determine their significance and plan their distribution;
  9. Make travel and accommodation arrangements for the Managing Director;
  10. Take dictation and minutes and accurately enter data;
  11. Produce reports, presentations and briefs as may be required to;
  12. Develop and carry out an efficient documentation and filing system;
  13. Maintain customer confidence and protect operations by keeping information
  14. Perform any other relevant duties that may be assigned

Requirements for Appointment

  1. Bachelor’s Degree in relevant Field with 3 years working experience or higher National Diploma with 6 years’ Experience or Serving Officers in grade 7 with Bachelor’s Degree and 3 years’ Experience
  2. Must demonstrate high integrity and ethical practice;
  3. Must demonstrate ability to work independently with minimum supervision;
  4. Must be a team player who is able to work cordially in teams;
  5. Must demonstrate ability to multitask;
  6. Must demonstrate commitment to operational effectiveness;
  7. Should have ability to solve problems by applying relevant business knowledge;
  8. Should demonstrate professional expertise in the relevant work area;
  9. Must have the ability to communicate for both written and oral communication;
  10. Must be able to work under pressure;
  11. Must be a flexible person, who is willing to learn and able to work flexible hours to achieve goals;
  12. Must have knowledge in use of MS office
